If you love sending out personalized emails like I do, then this post will be of use to you. We’ll chat about what mail merge is and how it can make your life easier. Then I’ll show you how to use one of the best free software tools to tie your emails with a database! A Mail Merge is a computer program that allows you to generate a large number of personalized documents based on information stored in a database. A database is a file that stores all of your business cards, names, addresses, and other info. It might be a spreadsheet on your computer or a database program on your laptop. In this case I’ll use the database program for Mac called FileMaker. In order to send out personalized emails you need an email address book. An email address book is a list of all of the people you want to send personalized emails to. A simple way to accomplish this is create a spreadsheet with each person’s name, email address and phone number in it, then fill that sheet into an address book in File Maker. There are many great software packages out there that do even more than what I’ve shown you here, including some that save you money or use less of your time than the one I’m showing you now. If you would like to create emails in bulk, it’s important to do it right. Make sure that your subject lines are short, clear and descriptive of the product or service you are offering. If you aren’t sure what to write in the subject line, ask yourself questions like: What do I want the reader to know? What can I tell them about my business? What is newsworthy? Well guess what! These are all great subject lines for your emails.
